Function Room for Hire – FAQ
Thanks for your interest in hiring our function room!
Who should I speak to regarding hire of the function room?
The man in the know is our club steward. You can contact him at the club on 01902 341 335. You can also use the web form on our website for general enquiries, but all enquiries regarding availability are best dealt with by the club steward.
When is the club open to speak to somebody?
The club is open from 5pm Mon-Thurs, 3pm friday and from Midday at weekends.
What is the cost of hiring the function room?
Function room hire costs £100 including VAT. This is typically for an evening’s hire or weekend day time hire, for events such as Christenings / Wedding receptions etc.
To hire the room you must be a member which costs £12.00 for an adult for a year
If you are interested in regular day-time hire of the room, e.g. for a social group, class or organization please speak to our club steward to discuss.
Do I need to be a member to hire the room?
Yes, you must be a Woodfield club member to hire the room. If you do sign up your membership then allows you use of the facilities (social / bar / snooker tables). Membership runs from April to April each year. You will need to be a member when your function takes place.
How many people can it hold?
Seated :12 Tables with 8 people per table = 96 seated
Total occupancy:150 people
How do I reserve the room?
By paying the full amount (£100 inc VAT) you will reserve the room for your date.
Is the function room available on ……..date?
Contact the Steward /Staff at the Club any evening of the week 5pm til 11pm or at weekends from midday for immediate availability. We can only do this by phone at present as the functions book is constantly being updated.
Food / Buffet
Can I make / bring my own? Yes you can!
Do you offer any catering services? Yes we can!
We can tailor this to your requirements. The best would be to ring the Club Steward to tailor this to the needs of your event.
DISCO / ENTERTAINMENT
Can I arrange my own?
Yes but your DJ must have a PRS licence. You can find out more here (www.prsformusic.com) but your DJ will probably know if they have this.
Is the venue used for…..
Wedding receptions? YES
Can the room be decorated?
Yes, we do offer a decorating service, including table cloths, chair covers and organza bows, etc, information available on booking. You are welcome to decorate the room yourselves as long as no damage is caused to our walls.
Is there an area where children can play?
Children must be supervised at all times by an adult during your function.
What times can we have the room from/til?
This depends on the day. Usually on weekends you can come in and start decorating/preparing earlier, however some weekends there may be a day time function e.g. a Christening or a children’s birthday party which may last until 5pm. Speak to staff at the club to find out from what time the room is available.
The function room is available for hire until midnight.
Can I bring my own alcohol?
Strictly NO. The function room bar and room hire help support our club. To bring your own alcohol means we lose out on revenue which hurts the club and puts the club’s future in jeopardy. Failure to adhere to this may result in your function being brought to an end prematurely.
Can you put a disco on for me and if so, how much is it?
Yes, from £150.00 (Special Dates may be more)
Is there a stage in the function room we can use?
There is a small raised area in the corner of the function room that can be used as a stage. It’s nothing special, but it’s sufficient for a DJ/performer or for making announcements.
Is there any music/PA system I can use?
Yes, please speak to the club to arrange this.
Is there any provision for hot drinks for a day time group?
If hire is on a regular basis the water heater can be used. This must be pre-arranged with the bar Steward and there is a charge for this.
